Enfocus NV., a leading vendor for graphic design and printing solutions, has launched Instant PDF 09, its latest version of software for producing press-ready Certified PDFs. The latest version also supports the integration with Adobe CS 5 and QuarkXPress 8 applications.

The latest version is aimed to simplify the preflighting process, automatic correction of PDF files after creation and achieve compliance to standards. The PDFs created from Instant PDF 09 comply with major vendors’ specifications, including ISO PDF/X-1a, PDF/X-3, PDF/X-4 and Ghent PDF Workgroup (GWG) industry standards. The output files from Instant PDF 09 are Certified PDFs and are embedded with metadata including creator, verification and profile information.

Instant PDF 09 allows pre-press experts to define PDF Queues which contain all the PDF specification for quality-assured PDFs. PDF Queues can be distributed as files or published on CertifiedPDF.net from where Designers can automatically import them into Instant PDF 09.

Instant PDF 09 also supports integration with Adobe CS 5 and QuarkXPress 8 which allows Designers to handle their PDF output directly from Adobe and QuarkXPress by selecting ‘Save as Certified PDF’ from the File menu. Thereafter, Instant PDF 09 creates the PDF according to specifications, including preflighting and automatic correction.

Instant PDF 09 is compatible with Windows 7, Mac OS X 10.4.11 to 10.6 and includes 64-bit compatibility. Read more about Instant PDF 09 at http://www.enfocus.com/product.php?id=864

The press release appeared at http://www.packagingessentials.com/2010/07/14/enfocus-announces-instant-pdf-09/

Debenu, the company that created Quick PDF Tools, the freeware application that allowed you to do a lot of basic PDF-related tasks for free, today announced the official release of the professional version, Quick PDF Tools Pro 2.1.

“The original version of Quick PDF Tools was and still is freeware — it’s a simple right-click utility for doing PDF-related tasks,” said Rowan Hanna, Debenu CTO, “it’s very popular, something we’re really pleased to put our name to”.

“… But in building this version we took what was mighty, and also made it professional — something a business user could use,” quipped Hanna, “in fact, Karl De Abrew our CEO said to me, if we didn’t make this ourself he’d actually buy a copy himself.”

It will let you preview PDF files, merge and split PDF files, crop and rotate pages, extract form field data, edit JavaScript, convert PDF to text and much more.

The professional version is available for $59 USD from the official Quick PDF Tools website – http://www.quickpdftools.com/

Disclosure: 4xPDF.com is run by Debenu.com the makers of Quick PDF Tools

Axway, today announced Data Leak Prevention (DLP) enhancements to the MailGate e-mail security appliance’s Policy Engine, enabling Digital Rights Management (DRM) for attachments.

Sources at Axway said that MailGate will now be limiting the recipient’s ability to alter or appropriate attachment information by converting inbound and outbound Microsoft Office attachments into password-protected, ‘locked’ PDF documents.

Integration of DRM into its Policy Engine by Mailgate ensures that senders retain greater control over a document’s integrity, even after being send to partners. PDF documents will be protected by a 32-byte password, created by the sending party which remains solely authorized to make document changes.

Recipients of a password protected PDF document will not be able to print, add pages, insert comments or copy and paste content if PDF conversion is enabled by the sender. It also removes metadata from outbound documents such as tracked changes, edits or revision history to ensure only desired information reaches recipients.

The company has also improved the product usability and performance in areas like improved user reports, message data logging and end-user graphical interface functionality, in addition to enhancing the data leak prevention capabilities.

Today Techwhack report that Google have updated their PDF search feature to include a quick view option. By using this, you’ll be able to take a look at a formatted version of the PDF without having to spawn a PDF viewer.

Google spoke about this new feature:

Today, we’ve added new links to “Quick View” PDFs in your browser with the formatting intact. The new links are based on the same technology that’s available in Google Docs and Gmail, as well as to webmasters through the Google Docs viewer.

I was able to see this by searching for “Plagarism New1” and then clicking the Quick View option.

Pretty impressive, I thought…

It’s an easy mistake to make: you create a Word document, write a green paper, convert it to PDF and then publish it on your company’s website. A customer then downloads the green paper and happens to have a look at the document’s properties. Oops! In a moment of boredom, while writing the green paper, you had distracted yourself by writing a humorous comment in the properties section of the Word document, thinking that the comment would be removed when the Word document was converted to PDF. The customer, who coincidentally provides the company with a lot of business, doesn’t find the comment particularly humorous — and neither does your (soon to be former) boss.

You’re probably thinking a lot of things at the moment, but I hope that one of them is: how can I avoid being this person?

Well there is a few ways. Perhaps the best place to start when dealing with metadata is at the source: the Word document. The case might be that you have no need to include metadata in the PDF that’s going to be published on your companies website, in which case, you should turn off the feature in your PDF conversion program that carries the metadata from the Word document into the PDF. Take note that not all PDF converters include the feature that copies the metadata from the Word document to the PDF document, so in some cases you don’t have to worry about this. If you’re an Acrobat user however, you do need to be vigilant as the feature is turned on by default. If you don’t want the metadata converted with the Word document then you should go to the preferences section of the Acrobat add-on for Microsoft Word and disable the ‘Convert Document Information’ option under settings. This will ensure that any “humorous” comments won’t be retained in a freshly converted PDF.

But what if you’ve already created the PDF, how do you remove the metadata? In Acrobat this is pretty easy. Simply open the PDF and either use the keyboard shortcut (Ctrl + D) or go to ‘File > Properties’ and click on the ‘Description’ tab to view the documents metadata (make sure you also click on the ‘Advanced Metadata’ button to view any additional hidden details). Remove the information from the metadata fields and click on the ‘OK’ button.

Removing the metadata by going into the document properties section and manually deleting it is pretty simple, but actually Acrobat provides an even easier, and more comprehensive, way of quickly removing all metadata from a document and also ensuring that other sensitive (and possibly hidden) information is not missed. All you need to do is click on the ‘Document’ menu in Acrobat and then select the ‘Examine Document’ item. Acrobat will then automatically examine your document for any document information and provide you with a list of potential problems (note: it’s only a problem if you don’t it to be there, some of the info that is picked up could have been intentionally placed there by you). After that all you have to decide is what information you would like to remove and then click on the ‘Remove all checked items’ button and voila: your PDF is clean.

It’s a little bit of extra work, sure, but it will keep your job safe.

Just over 1 year old, I’d like to draw your attention to the company A-PDF – yes, another leveraging the benefits of the letter ‘a’ at the start of their name – meaning that they get top-billing in company listings.

Aside from their commercial range of tools — they’ve a range of free simple products, none of which require Adobe Acrobat, and can be used for personal or business use:

A-PDF Text Extractor
Like the name says, it allows you to extract text from PDF files for use in other applications.

A-PDF INFO Changer
Lets you get and set the PDF file properties, such as the author, title, subject and keywords.

A-PDF Number
Allows you to add page numbers to a PDF file. You can set the start page, number position, type of numbering (numeral, roman) and a bunch of other features.

…their commercial products are fairly cheap — ranging from $9.99 USD to $27 USD…

Ever wondered exactly what the NSA does? Well a guidance paper they released a couple of years ago sheds some light on one area of their work. The guidance paper deals with how to properly edit PDF documents which are going to be released into the wild. It contains some great tips, and not surprisingly, would have saved some people a lot of embarrassment if they had have read it before publicly releasing documents that contained sensitive information.

The guidance paper highlights three common mistakes:

Redaction of text and diagrams

Covering text, charts, tables or diagrams with black rectangles, or highlighting text in black…is not effective, in general, for computer documents distributed across computer networks (i.e. in “softcopy” format). The most common mistake is covering text with black.

Redaction of images

Covering up parts of an image with separate graphics such as black rectangles, or making images “unreadable” by reducing their size, has also been used for redaction of hardcopy printed materials. It is generally not effective for computer documents distributed in softcopy form.

Metadata and document properties

In addition to the visible content of a document, most office tools, such as (Microsoft) Word, contain substantial hidden information about the document. This information is often as sensitive as the original document, and its presence in downgraded or sanitized documents has historically led to compromise.

Source: NSA Information Assurance Division report

An article at cnet news called “Editing tips from the NSA” provides an analysis of the paper along with a few additional tips.

As you’re probably aware — when it comes to PDF, metadata is often added and edited during creation time from applications such as Microsoft Word and other office-related applications.

It can also be modified from within a PDF editing application by way of the Document Properties (Ctrl-D from within Adobe Reader or Adobe Acrobat).

But metadata in itself isn’t a useful tool — you’ve got to make some intelligent choices in order to reap the benefits. Michael Cartwright – CEO of Solid Documents, has some useful tips titled, “Metadata Best Practices” in his recent article, Using Metadata to Enhance your PDF Files, at Planet PDF.

He says:

Minimise keyword ambiguity by using clear and carefully chosen words.

Ensure that the metadata is consistent across all of your documents.

Prevent unwanted disclosure by carefully checking metadata prior to distributing.
